CES Edinburgh - Accommodation and Welfare Officer

Centre of English Studies (CES) is an English language school with international presence in Europe, United Kingdom and Canada. With more than 50 years experience in English education and students’ wrapped around care, our Edinburgh office is seeking to recruit an Accommodation and Welfare Officer to join our dynamic team.

Key Responsibilities:

Accommodation & Children Welfare

  • To inspect and select suitable families, collecting required data on the school's family records, and to keep family records up-to-date thereafter with students' and other relevant comments.
  • To regularly update family records and to re-inspect families every year making sure legal documents, contact details and living environment is up to date.
  • To reply to requests promptly and accurately between host families, external partners, and students, making sure each channel has a smooth experience.
  • To obtain accommodation with host families for students in accordance with the school's 'Terms for Placement' and to draw the attention of families selected to these terms for placement. Families taking students under the age of 18 must also sign acceptance to the school's conditions for accepting such students and the declaration under the Children Act 1989 Law and Criminal Records Bureau disclosure, with copies of the signed forms retained on file by you. Families must also be required to have Gas Safety Certification and any other provision required by statute. It is your job to keep all such records fully up to date
  • To filter and match families with student requirements as stated on the enrolment form or as notified to you by the school
  • To monitor students' well-being in their homestay families
  • To liaise with group leaders on problems arising and, as necessary, to discuss any problems with the student and/or his/her family
  • To book arrival/departure transfers for students who request for the service
  • Distribute accommodation information correctly to the external stakeholders, host families and students. Accurately communicate and update the hosts in relation to their existing/potential bookings or any other accommodation related discussion. Urgency on notifying hosts/ agencies the change of any bookings
  • To cover for colleagues in other administrative departments when necessary. Teamwork is key
  • Actively monitor student welfare and report any areas of concern to the Principal or Director of Study immediately
  • Be aware of and implement the school’s policy on bullying and abusive behaviour


  • To send all required documentation and paperwork to host families on an annual basis (or as required) such as, gas certification, fire risk assessments terms and conditions, codes of practice, host family guidance for hosting students under the age of 18, Declarations from all host family members over the age of 18
  • To conduct PVG checks on host families in accordance with the CES PVG policy
  • Any other reasonable administrative tasks asked of you by the School
  • To be responsible for students’ general welfare

Person Specification:

  • Eligible to work in the UK
  • Post holder must be willing to work flexible hours on occasions and hosting school’s emergency phone
  • Friendly and approachable, problem-solution personality, and able to work under pressure
  • Confident in calling external stakeholders, strong administrative and organisational skills
  • A Team-plyer and an effective communicator
  • Ability to build relationships quickly. Adaptable approach with a can-do attitude
  • Work proficiency in Microsoft suite is essential

Hours of Work: Monday-Friday (Including 1 hour unpaid for lunch)
